Policies

Visiting the College Archives

  • The College Archives are open to the general public. Researchers are welcome to visit to conduct research Monday through Friday, 9 am to 5 pm. We highly recommend that all visitors call or email in advance to schedule an appointment.

  • All visitors are required to register, provide acceptable identification, and abide by the Terms of Access and Use policy. If these conditions are met, access will be granted to unrestricted materials in the collection.

  • Researchers are not permitted to have food or drink while using archival materials.

  • Confidentiality of Research—Information about researchers' work in the Archives and Special Collections, including their topics and the materials used, will be kept strictly confidential.

Citation Information

Citations to records and papers held by the College Archives should indicate clearly the source of materials used. Proper citation helps both the researcher who may wish to see records a second time and the Archives staff who may be asked to locate complete texts of cited documents. Listed below are examples of suggested citation formats for unpublished materials to be recorded in footnotes and bibliographies.

Footnotes

Format: Description, Date, Collection Title, Repository Name, Location.

Example: Arthur Bennett Lipkin to Harold Aks, July 11, 1970, Music Department Records, Sarah Lawrence College Archives, Bronxville, NY.

Bibliographies

Format: Repository Name, Location. Collection Title.

Example: Sarah Lawrence College Archives, Bronxville, NY. National Women’s History Week Papers.

Reproduction Policy & Fee Schedule

The College Archives provides a range of reproduction services to its patrons. College Archives staff will handle all reproduction of materials. Orders will be filled as soon as possible, depending on the size of the request and the availability of staff. Conservation concerns may dictate appropriate methods of duplication for some materials. The final decision as to whether or not an item is in a condition to be copied will be made by the College Archives Staff.

Such copies may not be later duplicated, nor may they be transferred to or deposited with another person or institution without written permission from the College Archives.

In order to reproduce material from the College Archives, you must receive written permission. You may download a "Permission to Publish" application form here (PDF).

Digital Images

All scans will be at 300 dpi and saved in .jpg format on CD unless otherwise requested.

Photocopies

All items will be scanned in color and saved in .pdf format unless otherwise requested. Paper photocopies will require postage fees if mailed.

Commercial Use Fees

All commercial use fees are for one-time use only.

For-Profit Publications $50 per image

Use of manuscripts and published materials is subject to provisions of the copyright law. Permission to examine materials, or to obtain copies, does not imply the right to publish or reproduce them, in whole or in part. Permission must be obtained from the author or anyone else who holds copyright or other publication rights. The researcher assumes full responsibility for conforming with the laws of libel, copyright, and literary property rights when quoting or publishing archival materials.
